Enclav HR & PayrollReady to demo

HR and payroll for small Philippine businesses.

From the first clock-in to the payslip. People, time and pay in one place, for shops with 3 to 50 people. This page lists what it does today and what it does not, in the order your week happens.

What it does not do
The owner's home page. Sample data. The shop, the people and the amounts are made up.

Your people

Every employee's record in one place: details, job history, government numbers, pay rate.

Does today

  • Bring your whole team in from a spreadsheet.
  • Add your own fields for whatever your shop needs to track.
  • Job history is kept with the date of each change: hiring, transfer, new position, rate change, separation, rehire.
  • Government numbers are format-checked as you type.
  • Addresses picked down to the barangay from the official Philippine list.
  • Departments, positions and work locations.

Not in it today

  • Hiring and applicant tracking.
  • Performance reviews.
  • An offboarding checklist or final pay.
  • Exporting the employee list to a file.

TuesdayA new cashier starts. You add her once, and the time clock, leave and payroll all read from that one record.

The time clock

At the counter or on their own phone. Both land in the same timesheet.

The same time clock at a water refilling station. Sample data. The shop, the people and the amounts are made up.

Does today, at the counter

  • Turn any tablet into your shop's time clock.
  • Staff tap their name and enter their own PIN. Each person chooses their own; an admin can reset it but not see it.
  • A photo is saved with every punch. A camera that fails does not block the punch; it is flagged.
  • You can switch a tablet off as a time clock at any time.

Does today, on their own phone

  • A live selfie and a location check with every punch.
  • Punches from outside the work location are flagged for you, not blocked.
  • If the signal drops while someone is clocking in on their phone, the punch is saved and sent when the connection is back.

Not in it today

  • The counter tablet needs a connection.
  • The selfie is a record, not face matching.

Have a biometric clock already? Ask us about it in the demo.

TuesdayMaria taps her name at 7:58 and types her PIN. That is the whole routine.

Schedules and holidays

Fixed or flexible schedules, overnight shifts, and one-day changes per person.

Does today

  • One company schedule, and a different one per person where needed.
  • Each person sees their schedule for the next 7 days.
  • Regular, special non-working and special working holidays, for the whole company or one location.
  • Load the fixed national holidays for the year in one click, then add proclaimed and local holidays yourself.

Not in it today

  • A drag-and-drop roster.
  • Shift swaps between staff.
  • Proclaimed holidays do not load by themselves; you add them each year.

TuesdayThe town fiesta is on Thursday. You add it once, for that branch only.

Leave and requests

Staff file leave, overtime, undertime, official business and missed punches from their phone. You choose who approves what, up to four steps.

A leave request waiting for the owner. Sample data. The shop, the people and the amounts are made up.

Does today

  • Set up leave your way, or start from common Philippine leave types and adjust them.
  • Before sending, staff see how many days the leave will use and what is left. Rest days and holidays inside the dates are not counted.
  • One approvals inbox that shows the person's schedule and punches beside the request. Approve, or decline with a reason.
  • People cannot approve their own requests. The one exception, a sole owner, is recorded.
  • Email to the approver when something is waiting, and to the employee when it is decided.
  • A calendar shows who is off.
  • Approved overtime and leave flow straight into the timesheet and the payroll.

Not in it today

  • Converting unused leave to cash.
  • A stand-in approver while someone is away.
  • Text or push alerts; notices are by email.

The built-in leave types are starting points for you to review. They are not legal advice.

TuesdayJose files two days of vacation from his phone. Maria approves first, then you.

Timesheets

Timesheets show lates, undertime, overtime, night hours, absences and holidays worked.

One day waiting for a manager to fix. Sample data. The shop, the people and the amounts are made up.

Does today

  • A forgotten clock-out is never guessed. It waits for a manager to fix, with a reason on record.
  • Flags for what needs a second look: no clock-out, a punch outside the work location, a punch sent later, no photo.
  • Managers correct a shift with a reason, and the change is kept.
  • Lock a period once payroll has used it. Export to CSV.

Not in it today

  • Staff cannot yet see their own timesheet history.
  • A per-person attendance report as PDF.

TuesdayBen's Monday is marked "no clock-out". A manager fixes it, types the reason, and moves on.

Payroll

Pay twice a month, monthly or weekly. Monthly, daily and hourly staff in the same run.

A pay run waiting for review. Sample data. The shop, the people and the amounts are made up.
A sample payslip. Sample data. The shop, the people and the amounts are made up.

Does today

  • Holiday, rest-day, overtime and night-differential pay worked out from the timesheet.
  • SSS, PhilHealth and Pag-IBIG contributions and withholding tax computed from the contribution and tax tables loaded in Enclav.
  • Take contributions on the first payday, the second, or split across both.
  • Allowances, deductions, loans and cash advances with running balances.
  • While you review, Enclav warns you about a missing pay rate, a missing government number or a missing clock-out.
  • A run moves from Draft to Approved to Paid. Approving asks for your password again.
  • Printable payslips, and each employee can open their own online once the pay run is marked paid.
  • 13th month pay computed from the year's approved payrolls.
  • Paying in cash? Round take-home pay to the peso and see the difference on the payslip.

  • Final pay.
  • Year-end tax forms such as BIR 2316.

  • Counts approved and paid pay runs only, and tells you when a draft is still waiting or someone has no government number on file.
  • A list of who gets how much, and how each person is paid.
  • Your home page shows what is due to the agencies.

Not in it today

  • Filing or paying for you.
  • The agencies' own upload files.
  • BIR 2316.

TuesdayYour home page lists what is due to each agency this month.

Keep contracts, IDs, clearances and health certificates in each person's file. Admins get an email 30 days before one expires.

  • Choose per category who can see it and whether staff may upload their own.
  • PDF, photos, Word and Excel files up to 10 MB each.

Not in it today

  • E-signatures. An acknowledgement tick is not a signature.

TuesdayA barista's health certificate expires next month. The admins got an email about it 30 days ahead.

Who sees what

Four roles: Owner, Admin, Manager and Employee. Salaries are visible only to owners and admins.

Does today

  • Each company's records are kept apart from every other company's. The database enforces it, not just the screens.
  • A second step at sign-in is available for every account: a 6-digit code from an authenticator app on your phone.
  • Changes are logged with who made them and when.
  • "View as": see Enclav the way one employee sees it, read-only, for 30 minutes, logged.
  • If our support team ever needs to open your account, it is for a limited time, with a written reason, a visible banner, and an entry in your own record of changes.
  • Each company gets its own sign-in address, like yourshop.getenclav.io, with your logo on it.
  • One login can belong to more than one company.

Not in it today

  • Custom roles.
  • The second sign-in step is optional, not forced.
  • Using your own domain name.

Questions about hosting, backups or how your data is handled? Ask us in the demo. We will tell you exactly where things stand today.
